Short answer: n8n is usually the better fit when a technical team needs custom APIs, code steps or self-hosting. Zapier is usually easier for non-developers who want managed connections across common SaaS apps. Compare the cost of one complete n8n execution with the number of Zapier tasks used by the same workflow before deciding.

Prices were checked on November 5, 2026. n8n prices are shown in euros with annual billing; Zapier pricing is shown in US dollars on its US page. They use different billing units, so the table is a starting point rather than a direct cost ranking.
How pricing works
n8n counts the full workflow run
n8n Cloud counts one execution each time a workflow runs from start to finish. The number of steps or amount of data inside the run does not change the count. Starter is listed at €20/month billed annually for 2,500 executions, Pro at €50/month for 10,000, and Business at €667/month for 40,000 executions. Business is self-hosted only. The official n8n pricing page also lists a trial with 1,000 executions and five concurrent executions.
This model can work well when one trigger event starts a workflow with many actions. It can still become expensive if a webhook fires thousands of times or a schedule runs every few minutes. Estimate how often each production workflow starts rather than counting nodes.
Zapier counts tasks for successful actions
Zapier uses tasks as its main usage measure. Its help documentation explains that a task is generally counted when a Zap successfully completes an action; triggers do not count as tasks. Multi-step Zaps can therefore use several tasks for one business event. Some advanced products, AI steps and code features have their own task rules, so check the official task usage guide.
The US pricing page lists a Free plan with 100 tasks per month and Professional from US$19.99/month. Team pricing is also available. Check the current pricing page for billing period, task allowance and user limits before buying.
A simple cost example
Imagine a workflow that runs 1,000 times a month and has eight actions after the trigger. In n8n Cloud, that workload is about 1,000 full executions if each trigger starts one run. In Zapier, the same process may use about 8,000 tasks if all eight actions count as successful tasks. The exact task total depends on the Zap design and product-specific rules.
This example does not prove n8n is cheaper. A Zapier plan may include a task allowance that fits the process, while n8n self-hosting adds server and maintenance costs. The correct comparison uses your real event volume, action count, plan, billing period and operating costs.
Workflow building and integrations
n8n gives the builder a canvas of nodes. A trigger starts the workflow, then nodes pass data through actions, conditions and transformations. You can use code or HTTP requests when a prebuilt node does not cover the exact API operation. This is useful when a workflow has unusual data rules or needs a custom service.
Zapier is built for fast connections between apps. Its trigger-and-action model makes common processes easier to set up and share with non-developers. Zapier advertises a large app directory, but you should still check whether the exact trigger and action are available for the app plan you use.
The choice is not simply “code versus no code”. n8n can be used without writing code, and Zapier has advanced tools for complex workflows. The practical difference is how much control you need over the runtime, data handling and custom API calls.
Hosting, licence and security
n8n offers Cloud and self-hosted deployment options. The Starter and Pro Cloud plans are hosted by n8n; Business is self-hosted only; Enterprise can be hosted by n8n or self-hosted. A self-hosted instance gives you control over infrastructure and data location, but you own SSL, backups, updates, access control and monitoring.
n8n source is published under the Sustainable Use License. It permits certain internal business and personal uses, but it is not an OSI-approved open-source licence and it is not a general right to resell n8n as a hosted service. Read the licence before building a customer-facing product.
Zapier is a managed cloud service. You do not run its workflow engine on your own server. This can reduce maintenance work, but it also means you rely on the vendor's hosting, account and data-handling terms. Compare the security controls, retention, SSO and support terms on the plan you intend to buy.
Which is easier to use?
Zapier is usually easier for a non-technical person who wants to connect two familiar apps and move on. Its templates and trigger/action structure reduce the number of choices a new builder needs to make.
n8n has a steeper learning curve when a workflow uses APIs, code, complex branches or self-hosted deployment. A technical user may find that extra control useful, but a small team should account for the time needed to build, document and maintain workflows.
Current n8n 3.0 upgrade note
The n8n documentation lists version 3.0 as an early-access release. Its breaking-changes guide says self-hosted deployments need Docker-based installation. Teams using npm or npx should review the 3.0 breaking changes and migration tool guide before planning an upgrade. This is an n8n deployment issue, not a Zapier feature comparison, but it can affect the cost of choosing or keeping n8n.
Can you migrate from one to the other?
There is no universal one-click conversion that moves every n8n node, Zapier action, credential, filter and schedule into the other product. Treat migration as a rebuild and validation project.
- Export n8n workflows as JSON and keep a separate database and configuration backup if you are self-hosted.
- List each trigger, action, condition, data field, credential, webhook URL and schedule.
- Map every step to the destination's trigger or action. Confirm that the destination supports the exact operation, not just the app name.
- Recreate credentials in the new platform and check scopes and permissions.
- Test normal records, missing fields, duplicate events, API errors and rate limits.
- Run both workflows in parallel where safe, compare results and then switch the live trigger.
- Keep the original workflow and export until the new process has passed your rollback period.
The n8n export and import guide warns that workflow JSON includes credential names and IDs. HTTP Request nodes imported from cURL may also contain authentication headers. Remove sensitive details before sharing files.
Which should you choose?
Choose n8n if your workflow needs custom APIs, code steps, self-hosting or more control over data and execution. It is a stronger fit when a technical owner can maintain the process and the licence fits the use.
Choose Zapier if the workflow uses common SaaS apps, the team wants a managed service and non-developers need to own changes. It can be a better business choice even when its task meter looks more expensive, because it reduces maintenance and setup time.
If neither fits, compare Make for visual scenarios, Activepieces for a visual builder with an on-prem path, and Microsoft Power Automate for Microsoft-centric workflows. The n8n alternatives guide covers more options.

n8n vs Zapier FAQ
Is n8n better than Zapier?
Neither is better for every team. n8n offers more control over APIs, code and hosting. Zapier is usually easier for standard cloud-app workflows and non-developers.
Is n8n cheaper than Zapier?
It depends on the workflow. n8n counts a full run as one execution, while Zapier counts successful actions as tasks. Compare your event volume, action count, plan allowance and any self-hosting costs.
Can Zapier be self-hosted?
Zapier is offered as a managed cloud service. It is not a self-hosted workflow engine like n8n Community Edition.
Can I move Zapier Zaps to n8n automatically?
Do not assume a universal one-click migration. Map triggers, actions, filters, data fields and credentials, then rebuild and test the workflow in n8n.
Which tool is easier for a beginner?
Zapier is usually easier for common app connections. n8n can be approachable for simple workflows, but APIs, code and self-hosting add a learning curve.
