How the calculation works

Total event cost is the sum of food and beverage, labor, venue/setup and other direct costs. To price for a target margin, quote = total cost ÷ (1 − target margin). Per-guest price divides the quote by expected guests.

How to use the result

Use this as a starting point for banquet packages or custom event proposals. Compare the result with minimum spends, room capacity, demand by date, service level, menu mix and competitive positioning before finalizing a quote.

Assumptions and limitations

The model assumes entered costs capture the relevant event economics. It does not automatically include taxes, commissions, cancellation risk, complimentary guests, overtime, wastage or fixed overhead unless you add them.

Example

A 30% target margin is different from a 30% markup. Dividing cost by 0.70 produces the price required for a true 30% margin on revenue.

Frequently asked questions

Why does the formula divide by one minus margin?
Because margin is profit divided by selling price. This formula solves for the selling price that leaves the requested margin.
Should fixed hotel overhead be added?
Add any overhead allocation you want the event to recover in one of the cost fields.
Can I use this for per-person packages?
Yes. Enter expected guests and use the calculated price per guest as a planning reference.
Does the quote include tax?
Only if you include tax as a cost or deliberately build it into the amounts. The tool does not apply taxes automatically.
