Quick verdict

Choose Gmail if you depend on Google Search, Drive, Calendar and Android, and you are comfortable with its shared storage model. Choose Outlook.com if your daily work is built around Microsoft accounts, Outlook Calendar and OneDrive, or if you prefer a separate free mailbox allowance. Neither is the automatic winner for every reader. Compare the exact account type you will use, because free consumer email and paid business hosting are different products.

Pricing and storage are not the same

Both services offer free consumer email. The difference is what their free storage counts toward. Gmail shares its personal Google Account storage with other services, so large Drive files and photos can affect the inbox. Outlook.com provides a separate 15 GB mailbox allowance and a separate 5 GB cloud storage allowance. Both limits were checked on November 1, 2026 in the official Google and Microsoft storage guides linked above.

For Outlook, Microsoft 365 Basic is listed at US$1.99 per month or US$19.99 per year in the US. The plan includes 100 GB of mailbox storage and 100 GB of cloud storage. These are optional paid benefits, not a requirement for every Outlook.com user. The current plan page was checked on November 1, 2026.

For business email, Google Workspace Starter is listed at US$7 per user/month with an annual commitment or US$8.40 with flexible billing. It includes custom-domain email and 30 GB pooled storage per user. Google's billing guidance explains that the annual plan commits the business to a set number of licences, while the flexible plan costs more but allows user counts to change more freely. Both details were checked on November 1, 2026. Microsoft also offers paid business email, but its US pricing pages showed different standard figures during this review. Confirm the current offer and term at checkout instead of relying on an unverified comparison price.

Gmail is a strong choice if you often find old messages through search. Its operators can filter by sender, recipient, date, label, size or attachment, and its filters can label or archive incoming messages. Google's official search operator guide and filter guide were checked on November 1, 2026.

Outlook uses a more folder-centered workflow, with rules and categories. Readers who already organize work through Microsoft 365 may prefer keeping mail, calendar and files inside the same account. A Gmail user who relies on multiple labels on one conversation may need to rethink how those messages are filed in Outlook. Neither structure is universally better; it depends on how you look for information.

Google and Microsoft integrations

Gmail works naturally with Google Calendar, Drive, Photos, Meet and Android. Workspace adds admin tools and a company domain. Outlook.com works with a Microsoft account and its calendar, OneDrive and Microsoft 365 services. A paid Microsoft business plan is a wider bundle that can include Exchange, Teams and OneDrive, while Workspace combines Gmail with Google's collaboration tools. Compare the plan features you need, not only the inbox interface.

Some Gmail accounts may have AI-assisted search features, and Workspace plans list AI tools by edition. Access depends on the account, plan and region. The same rule applies to paid Microsoft features: check current plan details before assuming an AI or desktop feature is included.

Security and privacy

Both providers offer account security settings, spam controls and additional sign-in checks. Your choice should depend on the security features you need, how the account is managed and which organization controls it. For a personal account, keep recovery options current, enable two-step verification, review connected apps and check forwarding rules regularly.

If privacy is the main reason for switching, compare providers designed around encrypted email, such as Proton Mail or Tuta Mail, rather than assuming Gmail and Outlook are identical to those services. Encryption depends on the message, recipient and configuration. Moving to another inbox does not automatically make every email end-to-end encrypted.

Switching from Gmail to Outlook

First decide whether you want to replace the provider or only use a different mail app. If you move providers, export a copy of Gmail through Google Takeout. Google says downloading your data does not delete it from its servers. Then use the destination's supported import method, check attachments, sent mail, contacts and calendar items, and keep the old account available while you update logins. The Takeout instructions were checked on November 1, 2026.

Do not assume Gmail's web interface will continue collecting outside mail in the same way. Google says POP and Gmailify support for third-party accounts is being removed, with existing users supported until January 2027. The third-party “Send as” feature also ends in January 2027. These changes do not close Gmail, but they matter if you used it to collect or send from an Outlook or Yahoo address. Read the POP/Gmailify notice and Send as notice, checked November 1, 2026.

For a personal Gmail migration, Proton's Easy Switch guide is one example of a destination-specific process that can import messages, contacts and calendars for supported accounts. The same principle applies to Outlook: use Microsoft's current supported import steps and test the result before making the new address your only contact point.

Choose Gmail if...

  • You already use Google Calendar, Drive, Photos and Android.
  • You prefer labels and search operators to a folder-first system.
  • Your shared storage stays within the free limit, or a Google One plan fits your needs.
  • You want a personal address and do not need a company domain or central user administration.

Choose Outlook if...

  • You work mainly in Microsoft's email, calendar and file ecosystem.
  • You want the free Outlook.com mailbox allowance separate from Microsoft cloud storage.
  • You prefer folders and rules for filing mail.
  • You already pay for Microsoft 365 and the included Outlook features fit your account.

Ease of use and support

Gmail is easy to start with if you already have a Google Account. The main learning curve appears when you create filters, manage several labels or use multiple inboxes. Outlook's folder-first approach can feel more familiar to people who already work in Microsoft 365. If you manage mail for a team, compare the admin console and support terms for the paid business edition rather than assuming that the free consumer account has the same controls.

Support also depends on the account type and plan. Personal users should check the official Gmail Help Center or Outlook support for the exact account issue. A business administrator may have extra options through a paid Workspace or Microsoft 365 plan. Do not assume every plan includes the same response time or support channel.

Switching effort is not limited to copying messages. Gmail labels may map to folders differently, and filters, signatures, contacts, calendar invitations and recovery addresses need separate checks. If you only want another interface, keep Gmail as the provider and connect a supported mail app. If you want to leave Google entirely, plan a full migration and keep the old account available while you test delivery and password resets. The January 2027 POP/Gmailify and third-party Send as changes matter mainly to users who rely on those features, not to every Gmail user.

Gmail vs Outlook FAQ

Does Outlook have more free email storage than Gmail?

Both list 15 GB for free personal email, but the allocation differs. Gmail shares Google Account storage with Drive and Photos, while Outlook.com has a separate 15 GB mailbox allowance and a separate 5 GB Microsoft cloud storage allowance. Details were checked November 1, 2026.

Is Outlook better than Gmail for business?

Neither is always better. Compare the business plan, custom domain, user management, storage, retention, collaboration tools and migration needs. Both Google Workspace and Microsoft 365 offer paid business email.

Can I keep my Gmail address if I use Outlook?

Yes, if you use Outlook as a mail app and add your Gmail account through a supported connection. That does not move the mailbox or remove Gmail's storage rules. If you want to replace Gmail as the provider, plan a separate migration.

Can I transfer all Gmail messages to Outlook?

Use the current import method supported by your destination account, then check sent messages, attachments, contacts, calendars and labels or folders. Google Takeout provides a backup, but it does not itself create a live connection to Outlook.
