Short answer: Choose Notion when your team needs flexible docs, wikis and databases in one workspace. Choose ClickUp when assigned tasks, project views, time tracking and delivery controls matter more than a free-form knowledge base. Both can hold documentation and project information, but they organize work in different ways.

Prices are public US list prices checked November 8, 2026. Notion has a monthly/yearly selector and ClickUp's quoted base prices are billed yearly. Taxes, regional pricing, AI add-ons and seat rules can change the final total. Check the Notion pricing page and ClickUp pricing page before you buy.
The main difference is the starting point
Notion starts with a page. A team can write a brief, link a database, add a meeting note and show project records on the same page. This makes it useful when the work begins with information that needs to be captured, connected and found later. The database model is flexible, but the team must decide how records, statuses and permissions should work.
ClickUp starts with work to be completed. Tasks have owners, due dates, statuses and relationships to projects. Teams can view tasks as lists, boards, Gantt charts, timelines or sprint work. Docs can sit beside those tasks, so a brief or process note can stay close to the work it describes. This is a better fit when the team needs a shared view of delivery and accountability.
Docs, wikis and knowledge management
Notion has the advantage when the workspace is primarily a knowledge base. Pages can be nested and linked, databases can store reference records, and wikis can use owners and verified pages. A policy, product guide or onboarding page can sit beside a project database without requiring a separate app. Teams can create their own structure and adapt it as their work changes.
ClickUp Docs is useful when a document is part of a project or task. It reduces the gap between a plan and the work that follows it. A team that already uses ClickUp for task delivery may prefer to keep project briefs and process notes there. A team that wants a broad company wiki with flexible linked databases may find Notion easier to shape around its information.
Project management and reporting
Notion supports tasks, subtasks, dependencies, custom properties and database views. You can create a board for status, a calendar for deadlines and a timeline for phases. This works for lightweight project tracking and teams that want their plans beside research and documentation. It can become harder to maintain when several projects need the same reporting rules or when managers need detailed workload and time data.
ClickUp has a deeper task system. Its official feature pages describe task hierarchies, goals, dashboards, Gantt charts, time tracking and sprint management. These controls help teams that need to assign work, see blockers, compare progress and report delivery. The trade-off is that a large ClickUp workspace can need more configuration and training. A team that only wants a clean wiki may not need the extra project controls.
Pricing and a 10-seat example
Notion lists Free at US$0, Plus at US$10 per member/month, Business at US$20 and Enterprise at custom pricing. The pricing page offers monthly and yearly payment modes. Free has a 5 MB per-file limit and seven days of history; Plus lists 30 days, Business 90 days and Enterprise a custom period. Business includes Notion Agent and AI Meeting Notes. Custom Agents are priced at US$10 per 1,000 monthly Notion credits after the free trial.
ClickUp lists Free Forever, Unlimited at US$7 per user/month and Business at US$12 per user/month when billed yearly in its official FAQ. Its pricing page also lists AI options such as Brain AI and Everything AI separately. A low base price does not automatically include every AI feature a team may want.
For 10 seats, the displayed Notion Plus rate is a base monthly equivalent of US$100 and Business is US$200. ClickUp Unlimited is US$70 and Business is US$120 when using the yearly-billed rates. These are simple seat calculations, not a total-cost quote. Add taxes, AI add-ons, extra storage, guest rules, custom domains and any other tools the team still needs. If your team will use Notion AI heavily, budget for credit use rather than assuming every agent action is included.
AI and integrations
Notion's October 19, 2026 release introduced a new AI credit system and updated agent features. Business and Enterprise include Notion AI features, while Custom Agents use Notion credits. Owners can review usage in the credits dashboard. Notion also has connected apps, a public API and webhooks, which help teams connect pages and databases to other systems.
ClickUp has its own AI products and integrations. The exact AI allowance depends on the selected plan or add-on, so compare the features your team will use rather than the name of the AI tier. Both products connect to common work tools, but the available connectors and admin controls vary by plan. Verify a critical integration before moving a workflow.
Collaboration and access
Notion provides page sharing, teamspaces and granular database permissions. Business adds private teamspaces and row-level access for some database workflows. Enterprise adds SCIM, audit logs, domain management and advanced security controls. This can be important when a wiki contains both general team guidance and sensitive company information.
ClickUp organizes access through workspaces, spaces, folders, lists and task permissions. It can be a better fit when project ownership and task visibility are the main concern. Before choosing either product, map a few real examples: a public team page, a private HR page, a contractor who should see one project and a manager who needs a portfolio view. Check whether the required access model is included in the plan.
Offline access and portability
Notion supports downloaded pages in its desktop and mobile apps, but not in a web browser. Pages need to be downloaded individually, and paid plans also auto-download recently visited and favorited pages. A downloaded database includes the first 50 rows of its first view. This is helpful for selected reference pages, but it is not a full offline workspace.
Notion can export pages as HTML or Markdown and databases as CSV, with uploaded files. Private pages that the exporter cannot access and content excluded by teamspace settings may not be included. The export cannot instantly recreate the workspace. Treat migration as a data project: export a sample, check links and attachments, map fields, then rebuild the views, formulas, automations and permissions that matter.
Compare the tools with the same sample workflow
Use one real project as a pilot. Create a project brief, a task list, a decision log and a weekly report in each product. Ask a project owner to assign tasks, a writer to update the brief and a manager to review progress. Record how many steps each person needs to find a page, change a status, see a blocker and prepare a report. This is a fairer comparison than counting features on a pricing page.
Also test what happens when a person leaves the team, a guest needs access to one project or a task is moved to another owner. These cases reveal whether the permission model fits the organization. A product can look simple in a demo but still need more admin work once several teams share the same workspace.
Which one should you choose?
- Choose Notion when the team spends more time writing, collecting knowledge and connecting records than assigning tasks.
- Choose ClickUp when the team needs task ownership, due dates, Gantt views, time tracking, sprint work and project reporting.
- Use both only when there is a clear boundary. For example, Notion can own the wiki while ClickUp owns assigned delivery tasks. Avoid copying the same task or status into both.
- Compare a third option if neither model fits. The Notion alternatives guide covers Slab, Confluence, Nuclino, Obsidian, Anytype and Taskade.
If you already have a mature Notion workspace, do not switch because another tool has a lower entry price. First measure how much work depends on linked databases, templates, page permissions and existing integrations. The cost of rebuilding those parts can be larger than a small monthly seat difference.

Common questions
Is Notion or ClickUp better for project management?
ClickUp is usually the better fit when tasks, deadlines, sprints, Gantt views, time tracking and dashboards are the main work. Notion is stronger when project information needs to sit beside flexible docs, wikis and databases.
Is ClickUp cheaper than Notion?
ClickUp's official FAQ lists Unlimited at US$7 per user per month and Business at US$12 when billed yearly. Notion lists Plus at US$10 and Business at US$20 per member per month. Compare billing, AI add-ons, guests and storage before deciding.
Which tool is better for documentation?
Notion is a better starting point for teams that want flexible pages, linked databases and a wiki in one workspace. ClickUp Docs works well when documentation needs to stay close to assigned tasks and project work.
Can Notion and ClickUp work together?
Both offer integrations and APIs. A team can keep its knowledge base in Notion and manage assigned work in ClickUp, but it should decide which tool owns each record to avoid duplicate updates.
Can I move a Notion workspace into ClickUp?
Do not expect a perfect one-click copy. Export Notion pages and databases, test a small sample, then rebuild task relationships, views, formulas, permissions and automations that do not transfer as native ClickUp objects.
