Short answer: Notion is a shared workspace for docs, wikis, databases and project information. It is useful when a team wants notes and records connected. Someone must own page structure, database rules and access.

What is Notion?

Notion is a cloud workspace built around pages and blocks. Pages can contain text, checklists, tables, files, embeds and linked database views. A database stores records as pages, with properties such as status, owner, date and priority. The same records can appear in table, board, list, calendar, gallery or timeline views.

This mix supports personal notes, team documentation, meeting records, onboarding, product plans and lightweight project tracking. A team can connect a policy page to a project database or show the same content calendar to writers and managers with different filters.

What can you build with Notion?

  • Docs: briefs, meeting notes and working documents.
  • Wikis: policies, onboarding and process pages with owners and verification.
  • Databases: content calendars, feedback logs, product records and simple CRMs.
  • Projects: tasks, subtasks, dependencies and board, calendar or timeline views.
  • Connected work: integrations, a public API and AI features where the plan allows them.

Notion has monthly and yearly payment modes, with a stated saving of up to 20% on yearly billing. The official pricing page is the source of truth at checkout. Free limits collaborative blocks for workspaces with two or more members, allows 5 MB per file and includes seven days of page history. Plus lists 30 days of history; Business lists 90 days.

Limits to know

Notion needs maintenance as a workspace grows. Agree on database names, status labels, page owners and permission rules. Without those basics, teams can create duplicate trackers and outdated copies of the same policy. Use one source page and link to it from projects rather than copying it.

Offline access works in desktop and mobile apps, not in a browser. Pages must be downloaded, and a downloaded database includes only the first 50 rows of its first view. Paid plans also auto-download recently visited and favorited pages. See the offline guide before relying on it for travel.

Free and Plus include a limited AI trial. Business and Enterprise include Notion AI features. Custom Agents use Notion credits after the free trial. Notion announced the new credit system for new Business and Enterprise workspaces on October 19, 2026, and for existing workspaces on November 2. Owners can review usage in the credits dashboard.

Who should use Notion?

Notion suits teams that write, collect knowledge and connect project records. It also suits solo writers and researchers who want linked notes. It is less suitable when the main need is advanced task management, a full local-file workflow or a ready-made system that needs little setup.
