UTM parameters are simple. UTM governance is not. Once several people create campaign links, tiny naming differences can fragment analytics reports and make channel comparisons harder than they need to be.

Start with a five-field UTM dictionary

Write down what each field means for your organization before launching more campaigns. Treat utm_source as the specific platform or referrer, utm_medium as the channel class, and utm_campaign as the shared initiative name. Reserve utm_content for creative or placement variants and utm_term for keyword or audience detail when it is genuinely useful.

Pick one formatting rule and enforce it

Lowercase values and hyphens are easy to scan and reduce accidental variants. For example, choose paid-social everywhere instead of mixing Paid Social, paid_social and paidsocial. The exact separator matters less than consistency.

Separate source from medium

A source answers “where?” while medium answers “what kind of channel?” LinkedIn may be the source while paid-social is the medium. A newsletter platform may be the source while email is the medium. This separation lets analysts roll multiple sources into a stable channel group.

Keep campaign names readable

A campaign string should survive outside the ad platform. Prefer a short business-readable name such as fall-product-launch over an opaque internal ID alone. Add dates only when they help distinguish recurring initiatives.

Do not place private information in URLs

UTM parameters travel in URLs and can be stored in browser history, analytics platforms, logs, screenshots and shared messages. Never include personal, confidential or regulated data in campaign parameters.

Create links with a controlled builder

Audit the taxonomy every quarter
